Members & contracts
Role and contract are two separate things: the role says what someone may manage, the contract what they pay. Applications, imports, plan changes and fixed desks live here.
How to
- Review and approve applicationsNew sign-ups wait under Open applications until you approve them. You can also let that happen automatically.AppWeb
- Invite a memberYou send an invitation; the member creates their account and billing address themselves.AppWeb
- Import membersYou upload a list. selfdesk sends no emails and attaches the contract once the person registers themselves.AppWeb
- Change a member's planA change applies on the 1st of a month. Backdating reaches the current month only, and only while no invoice exists for it.AppWeb
- End a membershipMembers cancel themselves to the end of the current month. As the operator you remove somebody from the space, and that takes effect at once.AppWeb
- Assign a fixed deskAn assignment blocks the desk for everybody else from a date. It hangs off the member, not off the contract.AppWeb
- Set up a company accountAn organisation pools the contracts of several employees into one base fee, one allowance and one invoice.AppWeb
When something does not work
- An import row is not importedThere are still bookings on the fixed desk named in the row. Only your explicit confirmation cancels them and writes the row.AppWeb
- The fixed desk was already takenThe contract stands regardless. Only the desk assignment is missing and has to be made by hand.AppWeb
- A removed member stays in the listThe contract ends today, so the person still shows under Active today and under Past from tomorrow.AppWeb
What applies
- Which contract appliesDuring a scheduled change two contracts sit side by side. The one that applies is the one covering the date in question.AppWeb
- Removing is not deletingYou end access and the contract. Invoices and bookings stay for eight years, and the name disappears only with anonymisation.AppWeb
