Bookings
Problem

A series ends earlier than expected

A series never reaches beyond the booking window and never beyond the end of the contract. The only way further is to extend it.

What you see

A member created a series over many months, but the day plan only shows the next few weeks. Or a running series stops mid-year although nobody cancelled it.

Why

Three limits can apply, and all three are intentional.

  • The booking window. A series never reaches further than your space makes bookable in advance. Every date of a series is written the moment it is created, so nothing grows later. Whoever wants to go further extends it.
  • The end of the contract. Already at creation the series end moves to the contract end. If the contract ends later, the dates stop there. Single bookings after the contract end are cancelled as well.
  • Taken and closed dates. If a date falls on an existing booking, outside the opening hours or on a closed day, it is skipped rather than overbooked. The series then looks patchy but is intact.

There used to be a nightly job that added dates as soon as they slid into the window. That undercut the window, because the series took the slot before another member could book it. This is why a series now ends at the window.

What you can do

  1. Check your space's booking window. A longer window allows longer series but also keeps short-notice places occupied longer. See Booking window.
  2. Tell the member to extend the series. Fourteen days before the last date they get an email about it.
  3. If the contract is running out, sort out the contract first. See Change a member's plan.
  4. If single dates are missing in the middle of the series, check the day plan for another booking or a closed day.
