Instant payment, receipt and monthly invoice

Every purchase line gets exactly one tax document. Paid instantly means a receipt, otherwise a position on the kiosk invoice.

For one purchase line there is always exactly one tax document. Paid instantly in the kiosk, and a receipt is issued. Not paid, and it becomes a position on that month's kiosk invoice. Never both and never neither. The database enforces this rule itself.

What a member sees

  • The bar with the open tab appears whenever anything is open. It is the only place where a member sees what they owe the kiosk before the month-end run.
  • The Pay button only appears if your space has card payment switched on and your Stripe account allows collection. Otherwise it reads Goes on your kiosk invoice at the end of the month.
  • Below €0.50 there is no instant payment. Stripe refuses smaller amounts, so the rest runs over the invoice.

What happens on a cancelled payment

  • A cancelled payment charges nothing. The lines fall back onto the tab and are offered again next time.
  • A cancellation is final only once Stripe confirms it. If someone cancels the payment sheet a second after Apple Pay has confirmed, the payment counts and the receipt hangs off it.
  • An open tab is only ever paid in the kiosk, never through the general retry route for failed payments. A failed tab payment stays visible in the history so that you know about it.

What ends up on the invoice

  • Kiosk purchases sit on their own document, separate from desk and room. See Three documents per month.
  • If the open lines total less than €0.50, no kiosk invoice is created. The lines move to the next run until the amount is enough.
  • The receipt is a small-amount invoice under § 33 UStDV. It has its own number range and does not touch the invoice number range.
  • The month-end run clears stuck payments first, so an abandoned payment sheet cannot swallow revenue. See Start the month-end run.
