Cancel or refund a purchase
Until it reaches an invoice a purchase can be cancelled. After that only a refund with a correction receipt remains.
A kiosk purchase is a single line with a frozen name, price and VAT rate. How it can be undone depends only on how far it has already travelled.
| State of the purchase | What is possible | |---|---| | Just bought | The member undoes it themselves within 60 seconds using Undo. | | Open on the tab, not paid, not invoiced | You can cancel it as the operator, with no time limit. The line drops out of billing. | | Paid instantly in the kiosk | Refund only. The refund issues a Reversal receipt, and the original receipt stays as it is. | | Linked to an invoice | No longer cancellable. A correction runs through billing, not through the kiosk. |
That includes:
- The member's undo ends as soon as the line has been taken into a payment. The 60 seconds protect against picking the wrong product, not against a payment someone meant to make.
- A partial refund only records the refunded amount. The payment status flips to refunded only on a full refund.
- The reversal receipt references the original receipt. Both are kept, because an issued receipt is a record.
- For the same purchase line there is always exactly one tax document. See Instant payment, receipt and monthly invoice.
- A line you cancel before the month-end run picks it up appears on no invoice at all. See Start the month-end run.
A dedicated screen for cancelling someone else's kiosk purchase does not exist in the app or on the web yet. Until it does, you correct such cases through billing.
