Billing & payment
Problem

A member gets three invoices in one month

Membership, usage and kiosk are three documents with three periods. They are never merged.

What you see

A member gets in touch because they received several invoices from you in the same month, and asks whether they are paying twice.

Why

One month-end run produces up to three documents per member, and they cover different periods.

| Document | Covers | Timing | |---|---|---| | Membership | the plan's base price | in advance, for the coming month | | Desk | usage beyond the allowance, meaning extra days and room hours | in arrears, for the past month | | Kiosk | kiosk purchases | in arrears, for the past month |

Merging them would print two periods on one document. The base price belongs to a month that has not happened yet; usage can only be quantified afterwards. The kiosk is separate because a member can deduct workspace rent as a business expense but not their snacks.

Nobody pays twice: what kind a position is decides which document it lands on, not the order of the run.

What you can do

  1. Show the member the three rows in the archive. Each carries its period.
  2. Explain the difference between a receipt and an invoice when it is about the kiosk. Whoever pays immediately gets a receipt and does not appear on the monthly invoice. See Receipt and invoice.
  3. If a member did not use up an allowance at all, there is no usage invoice. An empty position list produces no document.
  4. If a day-pass member is paying, the membership invoice is missing because their plan has no base price.

For company customers something else applies: the invoice goes only to the organisation's billing contact, and the other seats see only their kiosk share. See Create company customers.
